Your Inbox Isn’t a To-Do List — Until You Train It

Your Inbox Isn’t a To-Do List — Until You Train It

Series: Inbox Relief — Post 1

Basic cleanup — no AI, no add-ons, just Outlook.

Your inbox isn’t your task list — it’s everyone else’s.

  • Coworkers need input.
  • Vendors want attention.
  • Bots send “updates.”

Inbox Zero sounds great in theory, but most of us are just aiming for Inbox Manageable.

If you’re feeling buried, here’s a fast, no-AI-required place to start — and here’s the best part: Everything below is already built into Outlook. No third-party tools. No subscriptions. Just a few settings you may have missed.

Two basic Outlook rules to reduce the noise:

1. Move “Unsubscribe” emails to a ‘Newsletters’ folder
If the body contains “unsubscribe” or “Unsubscribe” → Move to folder.

2. Auto-sort known promo senders
If the sender contains “noreply@” or common domains → Move to folder.

Why move to a folder instead of deleting?

Soon we’ll look at how to turn these messages into opportunities.

These rules take 5 minutes to set up. And once the fluff is filtered, the real messages stand out.

Inbox Relief starts small… and yes, we’ll get to AI. This is just the first step — we’ll go from basic inbox rules to automated flows, and then into AI-powered responses that handle email for you.

What’s the simplest inbox rule that’s made a big difference for you?
